1. Minimum night stays
Minimum night stays are designated for the cottages and Manager's Home. For reservations over holidays such as the Fourth of July, Thanksgiving, Christmas and New Year's Eve, we require a seven night minimum stay. For any other time of the year, our minimum stay requirement is two nights.
To confirm your reservation, we require a deposit of 50% of the total amount due, including cleaning fees and taxes. We accept VISA, MasterCard, American Express, PayPal and personal checks. For individual cottage rentals, the remaining amount is due sixty days prior to your arrival. If you have rented the entire complex, the remaining amount is due ninety days prior to your arrival. If you have paid your deposit with a credit card, we will charge that card for the remainder due at the appropriate time, unless you instruct us otherwise. We will be in contact by email or phone prior to making this charge in order to confirm that the information is current.
3. Cleaning Fees
We do not provide daily housekeeping services. At the time you make your reservation, we will collect a cleaning fee. This fee covers our cost of cleaning the cottage(s) after you check out. For the two bedroom cottages, this amount will be $156.25. For the Manager's Home it will be $260.42 or $338.54, depending on whether it is rented as a 4-bedroom or as a 5-bedroom. The cleaning fee for the Studio Suite rented by itself is $83.33. The cleaning fee for the entire property is $937.50. All cleaning fees are quoted inclusive of Hawaii state tax of 4.166%. If you are interested in daily housekeeping service, this can be arranged privately with our Housekeeping Manager. Please let us know in advance if you would like this service.
All room rates quoted are exclusive of Hawaii state taxes of 13.42%.
5. Cancellation Policy
If you are renting all of Hale Pohaku and you cancel 60 days or more prior to your arrival, we will refund all monies held with the exception of a handling fee of $250. If you have rented an individual unit, or combination of units other than the entire complex, and you cancel 60 days or more prior to your arrival, we will refund all monies held with the exception of a handling fee of $50 per unit rented. If you reserved one unit, the fee will be $50; if you reserved 2 units, the fee will be $100, etc.
If you cancel less than 60 days in advance of your arrival, we can only refund those nights which we manage to re-book. If we cannot rebook all or part of your stay, we will retain the reservation funds for those days.
We recommend you check into travel cancellation insurance. This is available on the internet, by searching for "travel cancellation insurance" in any search engine.
6. Unit Availability
While every effort is made to accommodate guests in the specific cottage(s) requested, the owner may sell the property, make it unfit for rental, experience unforeseen weather damages or other damages to the property, have an inadvertent double booking or otherwise have it become unavailable.
In the unlikely event any of these unfortunate circumstances occur, we will make every effort to either offer you alternate dates or offer our assistance in finding suitable replacement accommodations for the same period without liability. However, rates at the replacement property may vary from ours. Should suitable replacement accommodation not be found, we will issue you an immediate refund. Regardless of the final disposition, our liability shall be limited to the refund of any funds collected. Again, we recommend you check into travel cancellation insurance.
We do not collect a damage deposit. If, after your departure, we find that items have been damaged or broken, or are missing, we reserve the right to charge your credit card to repair or replace these items at our cost.
8. Check-in and Check-out times
Check-in is at 3:00 p.m. Check-out is by 10:00 a.m. Arrangements must be made in advance for early check-ins or late check-outs. We will do our best to accommodate these requests, however we cannot guarantee that they will be possible.
The keys to each unit are kept in lock boxes outside the doors. When you confirm your reservation with us, you will receive the combination for the lockbox for your unit. Please remember to bring the code with you. In addition to the key in your lockbox, there will be a second key inside the unit. We ask that you please keep one key in the lockbox at all times to avoid accidental lock-outs. PLEASE lock all your doors and return the lockbox key to the lockbox upon your departure.
10. Roll Away Beds, Cribs, High Chairs and Bedding Needs
4 roll away twin beds, 4 pack-n-play cribs and 4 high chairs are available at no charge if needed. Please let us know in advance if you would like to use any of these items.
Each 2-bedroom cottage includes one bedroom with twin beds and one with a queen bed. The Managerís Home includes two bedrooms with twin beds and two with queen beds. The Studio Suite has one queen bed. We are able to convert twins into king beds. Please let us know in advance if you wish to do this. We cannot convert them on the day of arrival.
The Managerís Home also includes a double-bed sleeper sofa. If you wish to use it, please let us know in advance so we can provide appropriate linens and pillows.
Each cottage and the Managerís Home are supplied with a refrigerator, stove, microwave, dishwasher, washer & dryer. The Studio Suite does not have a dishwasher and shares the washer & dryer with the Managerís Home. Please treat our appliances with the care you would give your own appliances at home. PLEASE do not attempt to force open the lids of the washers when locked during the washing cycle. They will unlock by themselves several minutes after the cycle cool-down is completed. Replacement cost of one lid is $357.00.
Each cottage is provided with the following items: bathroom towels, beach towels, kitchen towels, all bed linens, hand soap, body wash, shampoo, conditioner, hair dryer, liquid dish soap, dishwasher soap, kitchen sponge & trash bags. We do not supply laundry detergent.
We supply a starter set of paper towels and toilet tissue for each kitchen and bathroom. We also supply coffee and tea for your first morning breakfast. Directions to local grocery stores are included in your confirmation emails.
All units are non-smoking. You may smoke outside in the gardens, but we ask that you please be considerate of our other guests. If, after you check out, we ascertain that you have smoked inside the unit, we will charge your credit card an additional $50 deep cleaning charge.
No pets are allowed in any of the units at any time.
The pool is for all our guests to enjoy during daylight hours only. There are no lights in the pool area. As we have no lifeguard on duty, use of the pool is at your own risk. Children MUST NOT be left unattended in the pool, they MUST be supervised by adults. Please follow the specific instructions clearly posted at the pool entrance.
Please do not litter on the property. Trash bags are supplied in each cottage kitchen. Trash containers are located by the street on either side of the property. Please place all trash bags safely inside the containers and replace the lids. Please DO NOT place trash bags on the ground where they may be torn open by neighborhood cats or birds. Trash pickup day is Tuesday. If you need an earlier pickup, contact us.
17. Kitchen Items
If you are renting the entire property, PLEASE return all kitchen items to their original cottage location prior to departure.
18. Safety and Other Information
For your security, please lock your doors when you are away from the cottages and lock your car doors. We cannot be responsible for missing or lost items.
Sidewalks, porches and decks may become slippery when wet. Please exercise caution.
The sprinkler system is set for 6 AM and generally runs for about an hour. If you are having an event on the property, please let us know in advance so we may shut off the system that day.
Pool toys, rafts, boogie boards, etc. may be found in the container in front of the garage on the north side of the property. PLEASE replace them after use.
There are ten beach chairs on the property which you may take to the beach with you. PLEASE return them to the property after use.
The giant cane toads you may encounter on the island are safe to handle. However always wash your hands well after touching them, as the toxins in their skin can cause extreme irritation to the eyes, nose & mouth.
The geckos and other lizards on the property are harmless and consume insects. Please do not harm them.
19. Weather and other Circumstances
Although we will do everything possible to make your stay as pleasant and carefree as possible, we cannot control or be responsible for the weather or any other unforeseen circumstance that may affect your stay.
20. Confirmation of your reservation is taken as evidence that you have read and understood our terms and conditions.
